Volunteering

Our swim meets and team traditions simply wouldn’t be possible without the help of our amazing Seals families. Running a home meet is a large effort that depends on many hands—timers, judges, runners, staging helpers, scoring, setup, tear‑down, and more. Each meet is divided into three volunteer sessions (Early, Mid‑Meet, and Late), which allows families to choose the time that works best for them or sign up for multiple sessions if they’d like.

Every family’s participation makes a big difference. When everyone takes a shift, our meets run smoothly and our swimmers get the fun, organized experience they deserve.

In addition to meet‑day roles, we also have a few weekly opportunities such as Donut Fridays, a long‑loved Seals tradition. We rely on families to help keep this tradition going by picking up and providing donuts for the team on select Fridays.

Please browse the volunteer roles listed below and sign up where you are able. Whether you’re new to the Seals or returning for another season, there’s a role for everyone—and we truly appreciate your support!


Each home meet is divided into three volunteer sessions — Early Events, Mid‑Meet, and Late Events — to help distribute the workload throughout the day. Volunteers may sign up for one, two, or all three sessions.


Timers (36 volunteers needed per home meet)

Timers operate stopwatches and record swimmers’ finish times for each race. This is one of the most essential roles at every meet, and no experience is necessary—training is provided before the meet begins


Staging / Heating (18 volunteers per home meet)

Staging volunteers help organize swimmers into the correct heats and lanes before each race. This role keeps the meet flowing smoothly and ensures every swimmer is in the right place at the right time. 


Runners (6 volunteers per home meet)

Runners collect timing sheets and disqualification slips from timers and deliver them to the scoring table. This role keeps meet results moving efficiently and requires frequent walking along the pool deck.


Place Judges (3 volunteers per home meet)

Place judges observe each race at the finish end and record the order in which swimmers touch the wall. This is an officiating‑style role that helps verify times. 


Stroke Judges (6 volunteers per home meet)

Stroke judges monitor swimmers during races to ensure stroke technique, turns, and finishes comply with league rules. This is an important officiating role, and training is provided.


Scoring Table (3 volunteers per home meet)

The scoring table team works the entire meet and enters race results into the meet software. This role requires attention to detail and comfort with computers. Training will be provided.


Ribbons (1–2 volunteers per home meet)

Ribbon volunteers collect results from the scoring table, label ribbons with names and times, and sort them for distribution to each team. 


Announcer / DJ (1 volunteer per meet)

The announcer provides event announcements, reminders, and general updates throughout the meet, while also managing music to keep energy high and the environment fun. 


Check‑In Table (4 volunteers per meet)

Check‑in volunteers greet families as they arrive, confirm swimmer attendance, note scratches, and help swimmers know what events they are swimming.


Gate Greeters (2–3 volunteers per meet)

Greeters help families and visiting teams navigate the pool area, find seating, and understand where to set up. This role is especially helpful during the busy morning arrival period.


Water / Ice Runner (3 volunteers per meet)

Water/Ice Runners deliver drinks to volunteers who cannot leave their stations (timers, stroke judges, etc.) and ensure posted results are updated throughout the meet.


Tear‑Down Crew (4–6 volunteers per meet)

Tear‑down volunteers stay briefly after the meet to help reset the pool deck, gather equipment, and restore the facility to its standard layout. This is a short but essential role that ensures the water park can open to the public on time!


Floaters / Substitutes (4–6 volunteers per meet)

Floaters fill in wherever help is needed, including stepping into roles if scheduled volunteers are absent. This flexible role helps ensure the meet runs smoothly, even with unexpected changes.
